This Privacy Policy explains how Ashley Howard collects, uses, stores and shares personal information when you visit ashleyhoward.me, contact me, join one of my mailing lists or waitlists, enquire about or purchase my services, or otherwise interact with my business online.
I take your privacy seriously and aim to collect and use personal information only where it is reasonably necessary.

2. What personal information I may collect
Depending on how you interact with my website and services, I may collect or process:
your name;
your email address;
your telephone number, where you provide it;
information you submit through enquiry or contact forms;
information about the service, course or resource you are interested in;
information you provide when joining an email list, newsletter or course waitlist;
your email subscription and marketing preferences;
correspondence between us;
booking, client and service information;
purchase, payment, invoice and refund information;
information about how you arrived at and use the website;
your IP address and technical information such as browser, device and operating system information;
cookie and analytics information, where you have consented to non-essential cookies; and
any other information you voluntarily provide to me.
I do not intentionally ask you to provide sensitive personal information through general website forms unless it is genuinely necessary for the service you have requested.
3. How I collect your information
I may receive personal information:
directly from you when you complete a form;
when you email, telephone or otherwise contact me;
when you subscribe to a mailing list or waitlist;
when you book or purchase a service;
through my website provider, Squarespace;
through MailerLite when you subscribe to or interact with email communications;
through analytics tools where you have given the necessary cookie consent;
through Teachable if you purchase or enrol in one of my online products; and
through payment providers where you make a payment.
4. How and why I use your information
Responding to enquiries
I use the information you provide to respond to questions, discuss your requirements and provide information about services you are considering.
My lawful basis will normally be taking steps at your request before entering into a contract and/or my legitimate interest in responding to genuine business enquiries.
Providing services you have purchased
If you become a client or customer, I use relevant personal information to arrange, administer and provide the service you have purchased.
My lawful basis is generally the performance of our contract.
Administering courses and online products
If you purchase an online course or related product, I may use your information to administer your enrolment, provide access, communicate with you about the product and provide customer support.
Online courses delivered through Teachable are also subject to the more detailed Privacy Policy provided within my Teachable school.
Mailing lists, newsletters and waitlists
If you join a newsletter, waitlist or other email list, I use your information to send the communications you requested.
Where required, I rely on your consent for promotional email marketing. In other circumstances I may send marketing where permitted by applicable electronic-marketing law.
You can unsubscribe from promotional emails at any time by using the unsubscribe link in an email.
Unsubscribing from marketing does not prevent me from sending essential communications about something you have purchased.
Payments and accounting
I use transaction and payment information to administer purchases, issue refunds, maintain accounting records and comply with tax and other legal requirements.
My lawful basis may be performance of our contract and/or compliance with a legal obligation.
Customer service and complaints
I may use relevant communications, transaction and customer information to answer questions, provide support, deal with complaints and resolve disputes.
My lawful basis may be performance of our contract and/or my legitimate interests in providing customer service and protecting my legal rights.
Website operation, security and improvement
I may process technical information where reasonably necessary to operate, secure and troubleshoot the website and understand how it is being used.
Where this processing relies on non-essential cookies or similar technologies, those technologies are subject to the cookie choices described below.
5. Email marketing and MailerLite
I use MailerLite to manage mailing lists, course waitlists, email campaigns and some automated emails.
Information processed through MailerLite may include your name, email address, subscription status, the list or group you have joined and information about your interaction with emails.
Where MailerLite processes subscriber information in my account, I am the data controller and MailerLite acts as a data processor on my behalf. MailerLite confirms this relationship in its Data Processing Addendum.
You can unsubscribe from promotional communications at any time.
After you unsubscribe, a minimal record may be retained so that your preference can continue to be respected.
6. Cookies
My website uses cookies and similar technologies.
Some cookies are essential for the website to function and do not require your consent.
Other cookies are non-essential and may be used for purposes such as analytics and website measurement.
My Squarespace website is configured so that non-essential cookies are restricted until you make a choice through the cookie banner.
When you first visit the site, you can:

Squarespace notes that restricting non-essential cookies prevents Squarespace and some third-party integrations, including Google Analytics, from placing their non-essential cookies until consent is given, although third-party technologies may have their own behaviour.
7. Analytics
I use website analytics to understand, in aggregate, how people find and use my website.
This may include Google Analytics 4 and Squarespace's own analytics tools.
Depending on your cookie choices, analytics information may include pages viewed, approximate geographic information, referral source, device or browser information and interactions with the website.
I use this information to understand website performance and improve my pages, content and marketing.
Where analytics requires non-essential cookies, those cookies are used only in accordance with the consent choices available through the website's cookie controls.
I do not use website analytics to make solely automated decisions about you that have legal or similarly significant effects.
8. Advertising measurement
I may use advertising platforms, including Google, to advertise my services and measure whether advertising leads to actions such as visiting a particular page or joining a waitlist.
Where advertising measurement requires non-essential cookies or similar technologies, I use those technologies subject to the cookie and consent choices available on the website.
I do not sell your personal information to advertisers.
9. Squarespace
My website is hosted using Squarespace.
Squarespace processes technical and website information necessary to host and operate the site and may process information submitted through Squarespace forms or other website functionality.
Squarespace also provides the cookie-consent controls and website analytics functionality used on this site.
10. Contact and enquiry forms
When you complete a form on my website, I use the information you provide to deal with your enquiry or request.
Depending on the form, the information may be processed through Squarespace, MailerLite or sent to my business email account.
Please provide only information relevant to your enquiry.
11. Teachable and the British English Pronunciation Roadmap
My online course, the British English Pronunciation Roadmap, and its Coaching Add-On are delivered through Teachable.
If you purchase or enrol in one of these products, relevant information is processed through Teachable for purposes such as:
creating your student account;
providing course access;
tracking course progress;
processing transactions;
delivering coaching;
communicating with you; and
administering your enrolment.

Teachable also processes some information under its own privacy arrangements.
12. Payments
Depending on the service or product you purchase, payments may be processed through third-party payment providers such as Teachable, Stripe or PayPal, or made by bank transfer.
These providers process payment information under their own privacy policies and security arrangements.
I may receive information confirming your identity, the amount paid, the product or service purchased and the status of the transaction.
I do not normally receive or store your full payment-card details.
13. Other service providers
I may use trusted third parties to help operate my business, including providers of:
website hosting;
email and email marketing;
online course delivery;
payment processing;
analytics;
accounting;
cloud storage;
video conferencing; and
professional advice.
They receive personal information only where reasonably necessary for the service they provide or where otherwise permitted or required by law.
I may also disclose information to accountants, professional advisers, insurers, regulators, courts, law-enforcement bodies or public authorities where reasonably necessary or legally required.
I do not sell or rent your personal information.
14. Links and third-party content
My website may contain links to other websites or services, such as YouTube, Teachable, social-media platforms or other external resources.
Those organisations have their own privacy practices, and this Privacy Policy does not control how they use information you provide directly to them.
Some pages may also contain embedded third-party content. Your interaction with embedded content may involve communication with the third-party provider.
15. International transfers
Some of the companies I use are international businesses, and personal information may therefore be processed outside the United Kingdom.
Where information I control is transferred internationally, I rely on the safeguards available under applicable UK data-protection law and through the relevant provider, which may include adequacy regulations, approved contractual safeguards or recognised international-transfer mechanisms.

16. How long I keep personal information
I keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting or dispute-resolution requirements.
As a general guide:
information from an enquiry that does not lead to an ongoing relationship will normally not be kept longer than reasonably necessary to deal with that enquiry and any follow-up;
client and customer correspondence may be retained while our relationship continues and for a reasonable period afterwards;
financial and transaction records may be retained for the period required by tax and accounting law;
mailing-list information is normally retained while you remain subscribed;
a minimal suppression record may be retained after you unsubscribe so that I can respect your preference;
website analytics information is retained according to the settings and retention arrangements of the relevant analytics service; and
information connected specifically with the Roadmap and Coaching Add-On is retained in accordance with the separate Teachable Privacy Policy.
Information may be retained for longer where reasonably necessary in connection with a complaint, legal claim or legal obligation.
17. Security
I take reasonable steps to protect personal information against unauthorised access, loss, alteration or disclosure.
I use established third-party providers for services such as website hosting, email marketing, course delivery and payments and limit access to personal information to situations where it is reasonably necessary.
No internet-based system can, however, guarantee absolute security.
18. Your data protection rights
Depending on the circumstances, UK data-protection law may give you rights including:
the right to be informed about how your information is used;
the right to request access to your personal information;
the right to have inaccurate information corrected;
the right to request deletion in certain circumstances;
the right to request restriction of processing in certain circumstances;
the right to object to certain processing;
the right to data portability in certain circumstances; and
